Monthly Report: Jupiverse Connect IRL Meetups

The Jupiverse Connect initiative aims to host in-person meetups to foster community engagement and grow the adoption of web3 technologies. Over the past month, we successfully organized two meetups and participated in one collaboration. Below is a detailed breakdown of these activities, including lessons learned and opportunities for improvement.


Meetup #1

Date: October 11, 2024
Attendance: 18 participants

Overview:
The first meetup was a small gathering held across two locations—a hotel and a restaurant. Despite last-minute adjustments due to funding constraints, the event served as a foundation for experimenting with the format and approach.

Activities:

  1. Venue 1:
  • Hosted at a hotel after negotiating rates.
  • Informal introductions and discussions about web3.
  • Attendees were assisted in setting up essential tools for web3 onboarding.
  • Games were played to foster community interaction.
  1. Venue 2:
  • Shifted to a restaurant pre-arranged to accommodate the group.
  • Attendees received refreshments (a plate and bottled water).

Downsides:

  • Transportation between locations was stressful and time-consuming.
  • Overspending occurred due to venue-related expenses and refreshments.

Collaboration with MoonWalk

Event Type: Fitness Initiative
Participation: Core team of four

Overview:
MoonWalk’s ambassador invited the Jupiverse Connect (JUC) team to participate in a fitness event. The collaboration presented an opportunity to showcase JUC’s mission and grow community awareness.

Activities:

  • Designed temporary merchandise (4 t-shirts for the team).
  • Produced palm flyers to share with attendees (printed by MoonWalk).
  • Engaged participants in conversations about JUC and its goals.

Downsides:

  • Limited funds restricted broader involvement and content creation.
  • The team relied on MoonWalk’s equipment, which constrained media coverage.

Meetup #2

Date: November 29, 2024
Attendance: 31 participants

Overview:
Building on lessons from the first meetup, this event was held in a single location (a hotel hall), with enhanced planning and execution.

Activities:

  • Rented equipment (microphone, projector, sound system, and chairs) to improve the event’s quality.
  • Delivered a structured teaching session on cryptocurrency, supported by slides and a projector.
  • Conducted interactive Q&A sessions, with active participation from attendees.
  • Organized games and included a short comedy session.
  • Hosted a fitness and health talk by a MoonWalk global ambassador.
  • Shared refreshments (packaged food and water).

Downsides:

  • Delayed start due to late equipment delivery.
  • Limited productivity from volunteers (only 2 out of 5 contributed meaningfully).
  • Event coverage was poor due to an underperforming cinematographer.

Lessons Learned

  1. Budget Management: Overspending on venues and refreshments highlighted the need for stricter budgeting and cost-effective alternatives.
  2. Single Venue Approach: Hosting events in one location improved logistics and attendee experience.

  4. Professional Standards: Selecting reliable vendors (e.g., for media coverage) is critical for future events.

Recommendations for Future Events

  • Optimize Venues: Use single locations with pre-negotiated rates to minimize transportation challenges and expenses.
  • Strengthen Volunteer Management: Clearly define tasks and set expectations for volunteers.
  • Enhance Media Coverage: Allocate budget for reliable media professionals to ensure quality event documentation.
  • Reassess Activities: Focus on proven successful segments, such as Q&A sessions, and discontinue less impactful ones like comedy unless quality can be assured.
